Clarification on Google Shared Drive Storage Updates

1. What is this message referring to?
This message pertains to a Google Shared Drive for your department or group, which received a notable temporary storage exception earlier this year. The exception allowed your team to store university data and collaborate as needed without the standard limitations.


2. Do you need to take action now?
No, you do NOT need to do anything at this time.


3. Will you need to cover the cost of additional storage?
Not at this moment. Richard and I are determining the best way to manage this for the college. Tentatively, the Poole IT budget is set to cover the cost of up to 10TB of storage for administrative and teaching purposes across the entire college. The Poole IT team will manage storage quotas and exceptions for these shared drives.


4. What if the shared drive is used for research?
If your shared drive stores research data, we encourage you to transition this data to the OIT Research Storage platform. Faculty members are eligible for up to 10TB of free research storage. If you prefer to keep your research data in Google, please schedule a meeting with the Poole IT team to:
1. Ensure the data classification permits storage in Google.
2. Explore funding options to cover any overages. (Note: We are currently working on approvals to allow research funds to be used for Google storage costs.)
